At Settlement Reminders, we are committed to transparency and privacy. This Privacy Policy is designed to be clear and straightforward, ensuring you understand how we handle your information. Our primary goal is to provide the core functionality of our product without any hidden terms or practices. We do not and will never sell your data or use it for marketing purposes, or any purposes other than providing the core functionality of the Product. We may from time to time send you correspondence, but any correspondence from us will be purely to inform you of changes to the product that you need to know about.

Information We Collect

  1. User ID: We collect and store your User ID to authenticate you using Single Sign-On (SSO) through Microsoft 365.
  2. Name and email address: We automatically collect your name and email from Microsoft 365.
  3. User Preferences: We collect and store your configuration preferences, such as overrides for the default NSW configuration to include reminders specific to your practice.

How We Use Your Information

  • Authentication: Your User ID is used to authenticate you with our Product via Microsoft 365.
  • Name and email address: Your name and email address are used to identify you to your company administrators in our management portal, and to send you email summaries and notifications about important changes to the Product.
  • Personalisation: Your configuration preferences are used to customise the reminders generated by our Product.
    • We do not store reminders
    • We do store reminder configurations

Note: Do not put any client specific or otherwise private/sensitive data into Settlement Reminders.

Data Processing and Storage

  • Data Processing Only: Our Product processes reminders including a matter ID, note, and date to send to your Outlook calendar. Once processed, we do not store or retain any of this data.
  • No Client Matter Data Stored: We do not store any data related to your client matters.
  • Encryption: All data stored is encrypted at rest, and all data transmitted is encrypted in transit to ensure your information is secure.

Third-Party Services

Our Product integrates with Microsoft 365 via the Graph API. With consent from the user's company admin, Microsoft shares with us the information specified above in the Information We Collect section.

We do not share your information with any third-party services. We will never disclose any data unless compelled to do so by law, or as otherwise required for genuine and legitimate business purposes associated with The Product. This is goverend by Our Commitment as stated above.

Legislative Compliance

We comply with all relevant privacy and data protection laws applicable to our operations in NSW, Australia. This includes ensuring that your data is handled in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

Your Rights

You have the right to:

  • Access and update your preferences.
  • Request the deletion of your User ID and preferences.
  • Contact us regarding any concerns or questions about your data.

Transparency and Security Assurance

While our solution is closed-source, we prioritise transparency and security. If you have any privacy or security concerns, we offer an infrastructure review and code review service under a Non-Disclosure Agreement (NDA) and for a fee. This service includes a meeting where we walk you through the code and infrastructure and answer any questions.
